New and Improved Features Implemented in the April 2004 Update

Assign multiple programs at one time.

Click Assign Programs on the Programs tab. In the assign programs window, you can assign multiple programs to the current contact, even programs not designated as "Quick Programs".

Individual family members as guests.

Guests can be individual family members (not just Main contacts). This allows children or volunteers that are not entered as a main record to be guests.

Occasions

Birthday Cards and Letters.

Supports built-in letters and Word Merges. Can be used to automatically send letters/cards for upcoming birthdays. Click Reports > Occasions for these options (check out the Output and Report drop-down lists). You can download sample Word templates that demonstrate the setup of these fields. You can also use the built-in letters. Tools > Customize Letters.

Yahrtzeits

Reminder Cards and Word Merges

Yahrtzeit letters can now be generated using Word, in addition to the built-in letters that were supported in the past. You can also generate Yahrtzeit Cards as apposed to Letters.

Occasion Reports

Now support full exporting features.

Reports > Occassions. When choosing Export in the Output drop-down you now have more options for exporting. . Excel, CSV, Test, RTF, etc.

Contact Reports support these exporting features as well. You no longer have to go through Excel in order to get the CSV format.

Country, Address2 field

Country is displayed on the Contact reports if it is different than the User’s country set under Options. It will always be displayed if the “Always print country on labels” (Tools > Options > Other) Address2 field will be displayed if it contains data.

Main Screen

Display detailed contact information on all tabs of Main screen.

If you are viewing other tabs (not the Address/Phone tab) of the Main Screen, a summary of the address and phone information is displayed.

Transaction List

Sent  = N/A

N/A is displayed in the Transaction list where no receipt was sent because the Receipt check box was not checked (and no received is intended to be sent).

Note Zoom buttons

Contact and Address notes have zoom buttons so that longer notes can be more easily viewed and edited.

Manage Programs

Update based on Demographics, Family Programs, and other Associations such as Source, Solicitor, Priority, Status, Occupation and more.

You can now update programs automatically based on Demographics, Family Programs, Source, Affiliation, Job, Status, and Referred by. (This is in addition to the updating based on Transactions and Other programs.)

Click Tools > Manage Programs

Customization for fields on Main Screen (Source, Priority, etc.)

You can decide what these fields should be called and what they should be used for.

For example, instead of Priority, you can rename that field to: “Denomination” and track Orthodox, Conservative, etc.

Click Tools > Options > Custom fields to assign custom names to these fields.

Contact Reports

And/Or Option

And/Or option for contact reports for Associations (custom fields) and for Demographics. This means you can now report based on contacts who are in a selected Source OR in a affiliation; based on a zip code range OR in a certain City, etc.

Saved Lists Criteria

Saved List Contact reports allows for multiple selection criteria for same report.

Use this feature as follow: Choose Output: Export, Format: Saved List. Choose criteria as needed and click OK. Repeat for other criteria as many times as needed. When you’re done adding contact to the saved list, click the Use Saved List check box and click OK. Only Contact in the saved list, will be in the resulting report. This can be used for regular reports, for exports, emails, Word merges, etc.

This solution solves ALL issues with regard to reporting on more than one type of criteria at the same time joined by OR.

Children Age

Contact reports based on children's ages and relations. Get reports of all contacts that have a son or daughter between 5-12 years old, for example.

New Documents

When merging to Word (Contact report, Letters, or any time you’re prompted to select a Template) you can create a New Document from scratch and then insert the Merge field manually. (This is in addition to Existing Document and New Document based on Existing Template).

Much Faster and reliable Word Merges. Uses an exporting format that allows Word to perform the merge about 5 times as fast as before.

Store Default Templates for Labels, Yahrtzeit Letters, Birthday Letters and Notify Letters (in addition to Letter, Envelope, TY Letter and Receipts). Two new sample templates are available under the Download section more will be added as time goes on.

Amount field

Optional <Amount> field added. Can be used in the Built-in letters or the Word Templates. This field will indicate the amount of the donation.

Long Date formatted merge field <LongDate>

Insert a Long Date (January 25, 2003) by using the  <LongDate> field (this is in addition to <DonationDate> which was displayed as 1/1/2003.

Family Programs Criteria

Can be based on Family Program criteria. This allows for easy generating of birthday lists and letters/cards based on Family Program enrollment.

Click Reports > Occasions > Family tab

Googling

Automatic Google Reverse Phone Number searches.

Click the G button (or right-click on a phone number and choose Google). If listed, Google will display the name and address for the given phone number. (Requires Internet connection).

Shortcut Menus

Shortcut Menus throughout the program provide context sensitive commands by right-clicking.

Windows or Custom Dialing options.

Avoids the new Windows XP (hard to configure) phone dialer.

Click Tools > Options > Phone Calls.

(Requires installation and registration of msComm control. This will be automatic in full release and is a bit complex to do manually.

Outlook  Synchronization

Synchronize with Outlook

Bi-directional Contact synchronization to Outlook. Palm handhelds can be configured to synchronize with Outlook. In such a setup, data that is entered in the Palm will appear in CMS and vise versa.

Currently only one way sync is supported.

Yahoo

Maps and Directions support

Click Tools > Options > Other and choose from 3 providers (Mapquest, Expedia, Yahoo). I think Mapquest takes the cake but the options are there.

MyTeam1

Interfaces with MyTeam1.com for automated calling services.

Click Tools > Options > Other and enter your MyTeam1 account information. If you don’t have an account, click the link and setup a free trial.

Click Tools > Custom Lists Setup. No more awkward box with a bunch of buttons… There is a new interface for many of the build-in lists.

Statement Criteria and Complete Customization

Generating statements based on Categories, Subcategories, Date Ranges and Paid Status (Outstanding balance).

Click Reports > Batch > Statements.

The included Reports database allows for complete customization of statements including logos, styles, fonts etc. The Reports database must be in the same folder as the Program File. To customize these statements, open the reports database directly make changes as needed and close it. To access those custom statement through CMS, click Reports > Batch > Statements and choose “Custom” as the Format.

Note: If you foul up with the customization of the statements and something stops working, CMS will only support replacing the Reports database. Make backups of this file if you are unsure.

Mark as Sent Letter Count

Mark as Sent gives you the count of letters that will be affected in the confirm message.

Bank Register

Deposit Report (slip)

Deposit. Easily print a detailed deposit report (deposit slip) from within the register.

Click Deposit Slip on the Bank Account Register.

Contact Reports

Display Programs on report

Optionally display Programs on contact reports.

Check the Show Programs check box under the Select Programs button (association tab).

All programs of the contact will be displayed regardless of the programs chosen as the criteria).

Groups: Group contact reports

Group contact reports by City, State, Zip, Country.

Choose the appropriate options from the Group By field (Report tab).

Only available when output to screen and list.

Group by Program

Group by Programs will display a contact more than once if assigned to two or more programs that are being reported on.

Think of it as “Program report”, rather than a Contact report. It is giving you a list of your programs and all contact listed under each program.

Credit Card Processing

Integration with PC Charge.

Automatically charge credit cards are a payment is being entered. PC Charge software required.

Regardless of whether you have PC charge, you can still enter more details with credit card info. You can also choose a credit card from “on file” for that person.

This feature will be expanded to included automatic billing by credit card and will indicate this as “terms” on the invoice.
